This Privacy Policy explains how DE Motor Cyprus Ltd. (“DE Motor”, “we”, “us”) collects, uses, stores and protects your personal data when you apply for or use our B2B partner portal. We are the data controller of your personal data and are committed to protecting it in accordance with the EU General Data Protection Regulation (GDPR) and applicable Cyprus law.

2. What personal data we collect

When you submit a partnership application or use the portal, we collect:

• Company details: legal company name, tax / company ID, country, website.
• Contact person details: full name, job title, corporate email, phone number.
• Account credentials: your password (stored only in encrypted/hashed form — we never store it in plain text).
• Business information: business type, estimated annual purchase volume, partnership goals.
• Consent records: your email/marketing consent choices and the date they were given.
• Portal activity: vehicle requests for quote (RFQs) and spare-parts orders you submit, including their contents and status.

3. How and why we use your data (legal bases)

• To assess and manage your application and account — legal basis: performance of a contract / steps taken at your request prior to entering a contract.
• To send you service and account emails (application received, approval/activation, order and RFQ confirmations) — legal basis: contract and our legitimate interest in operating the service.
• To provide the portal (vehicle configuration, pricing, parts ordering, RFQ handling) — legal basis: contract.
• To send marketing communications (product news, offers, updates) — legal basis: your consent, which you may withdraw at any time.
• To comply with legal, accounting and tax obligations — legal basis: legal obligation.

4. Marketing communications

We only send marketing emails if you have opted in. You can withdraw your consent and unsubscribe at any time — either via the unsubscribe link in any marketing email or by contacting us at info@de-motor.com. Withdrawing marketing consent does not affect essential service and account emails, which are necessary to provide the portal.

5. Who we share your data with

We do not sell your personal data. We share it only with service providers (processors) who help us operate the portal, under appropriate data-processing terms:

• Hosting & database — our cloud database provider, hosting data within the EU (Frankfurt, Germany).
• Email delivery — Google Workspace, to send transactional and (where consented) marketing email.

We may also disclose data where required by law or to establish, exercise or defend legal claims.

6. Where your data is stored & international transfers

Your portal and application data is stored in the European Union (Frankfurt, Germany). Where a processor may transfer data outside the European Economic Area, we ensure appropriate safeguards are in place (such as the European Commission’s Standard Contractual Clauses).

7. How long we keep your data

We keep your application and account data for as long as your account is active and for a reasonable period afterwards, and longer where necessary to meet legal, accounting or tax obligations or to resolve disputes. When no longer needed, your data is securely deleted or anonymised.

8. Cookies

The portal uses a single strictly-necessary session cookie (dm_session) to keep you signed in after login. It is essential for the service to function and is not used for tracking or advertising.

9. Your rights

Under the GDPR, you have the right to:

• access the personal data we hold about you;
• request correction of inaccurate or incomplete data;
• request erasure of your data (“right to be forgotten”);
• restrict or object to our processing of your data;
• request portability of your data;
• withdraw consent at any time (where processing is based on consent).

To exercise any of these rights, contact us at info@de-motor.com. You also have the right to lodge a complaint with the Cyprus supervisory authority — the Office of the Commissioner for Personal Data Protection (www.dataprotection.gov.cy).

10. Changes to this policy

We may update this Privacy Policy from time to time. The “last updated” date at the top reflects the latest version. Material changes will be communicated to registered partners.
